2. Personal Data We Process

Our website collects data only through the forms you complete. The categories collected are:

• Contact form: full name, email address, telephone number, subject and message content.
• Eligibility assessment form: first name, surname, date of birth, telephone number, email address, profession, education and qualifications, foreign language levels, preferred destination country, previous visa application history, job offer status, consultancy preference, planned migration date, family circumstances and your declaration that you can cover the costs of the process.
• Transaction security data: your IP address, form submission time and server access logs.

Some information requested in the eligibility assessment form, such as education and family circumstances, is needed for assessment under the destination countries' immigration rules. Completing this form is entirely voluntary.

3. Purposes of Processing

• Receiving and assessing your contact request and responding to you.
• Conducting a preliminary immigration and visa eligibility assessment and identifying the appropriate service for you.
• Providing consultancy and following the progress of your case.
• Blocking automated bot traffic and preventing misuse of form submissions.
• Meeting our legal obligations and providing evidence in potential disputes.

4. Legal Bases for Processing

Your personal data is processed on the following legal bases set out in Article 5 of the KVKK:

• Direct relevance to the conclusion or performance of a contract (Article 5/2-c) — fulfilling your consultancy request.
• Compliance with the data controller's legal obligations (Article 5/2-ç).
• The data controller's legitimate interests, provided your fundamental rights and freedoms are not harmed (Article 5/2-f) — security and prevention of misuse.
• Your explicit consent (Article 5/1) — for non-essential cookies and optional informational messages.

5. Recipients of Personal Data

Your personal data is not sold or rented to third parties for marketing. It is shared only to the extent necessary to provide the service, with the following recipients:

• Our hosting and infrastructure providers.
• Our security and content delivery provider.
• Cloudflare Turnstile for bot protection.
• Employers, organisations or partners abroad to whom your application will be forwarded at your request.
• Legally authorised public bodies and judicial authorities.

6. International Transfers

Our website's servers are located in Germany, and content delivery and bot protection are provided by suppliers based abroad. Your personal data is therefore transferred abroad within the scope of Article 9 of the KVKK. Transfers take place only to the extent necessary to provide the service and subject to the conditions required by law.

7. How Personal Data Is Collected

Your personal data is collected electronically by means that are not entirely automated when you complete the contact and eligibility assessment forms on careerineurope.com. IP addresses and access logs are recorded automatically by our servers.

8. Retention Period

The periods below are maximum retention periods. If the retention purpose ends earlier or a valid erasure request applies, the relevant data is erased, destroyed or anonymised earlier. Documents that must be retained separately for a contract, invoice or a specific dispute are kept separately, only to the extent necessary and for the applicable retention period.

Up to 12 months after your enquiry is closed.

Eligibility assessment records

Up to 6 months after the preliminary assessment is closed or you withdraw your application. Records needed for ongoing consultancy are retained for the duration of that process.

9. Your Rights Under Article 11 of the KVKK

You may exercise the following rights by contacting the data controller:

• Learn whether your personal data is being processed.
• Request information about processing if it has taken place.
• Learn the purpose of processing and whether your data is used accordingly.
• Know the third parties to whom data is transferred domestically or abroad.
• Request correction of incomplete or inaccurate data.
• Request deletion or destruction under the conditions in Article 7 of the KVKK.
• Request that recipients be notified of corrections, deletions and destruction.
• Object to an adverse outcome resulting solely from analysis by automated systems.
• Seek compensation for damage resulting from unlawful processing.

10. How to Submit a Request

In accordance with the Communiqué on the Procedures and Principles for Applications to the Data Controller, you may send requests concerning your rights, together with information confirming your identity, in writing to the address above, to our KEP address, or by email from the email address registered in our system. Depending on its nature, your request will be resolved free of charge within thirty days at the latest. If the procedure incurs additional costs, the fee in the tariff set by the Board may apply.
